Job Description

PRIMARY RESPONSIBILITIES

This position will be responsible for greeting visitors, answering telephone calls and a wide array of administrative related duties to support Finance and management team.  

SPECIFIC RESPONSIBILITIES

  • Answers and directs telephone calls appropriately
  • Greets scheduled visitors and directs to appropriate area or person
  • Greets unscheduled visitors to determine purpose of visit
  • Forward incoming emails and faxes
  • Process outgoing local and overseas couriers
  • Forward incoming mail and prepare/ send outgoing mail
  • Distribution and filing of all documentations
  • Update and distribution of internal phone, attendance & email lists
  • Update and manage access to building (Keys and Password)
  • Arranges luncheons, meetings and client functions, and coordinates attendees.
  • One of the “First Point of Contact” for Emergency Response Team situations
  • Ensures office equipment in reception area and coffee machines are working properly and arranges repair work
  • Responsible for inventory count both office and coffee supplies
  • Provides back-up support to other Administrative staff as required (vacation relief and busy periods)
  • Provide secretarial and administrative support, including typing, minute taking, filing, data input, and set up appointments.
  • Assist Finance and Management teams with administrative tasks as needed
  • Data entry into customer systems (LIMS, Excel, BOSS etc.)
  • Create tracking spreadsheets for invoicing
  •  (included in back up for admin functions above) Collections activity and tracking
  • Sourcing and creating purchase requisitions, and receiving of goods and services in the system.
  • May be assigned special or ad hoc projects, on a regular basis.
  • Responsibilities will be modified and/or added as this role develops with the business needs. 

Qualifications

Qualifications

  • Minimum of a High School Diploma (5 years) or a General Educational Development equivalency (GED).
  • Post-secondary education (College – 3 years) in an Administrative field is a strong asset.
  • 3 years of previous working experience in a Receptionist/Administrative related role is required.

REQUIRED SKILLS

  • Must be able to read, understand and follow work instructions in a safe, accurate and timely manner.
  • Candidates must be proficient in using various types of computer software (Word, Excel. PowerPoint & Outlook).
  • Proven ability to manage and coordinate multiple projects in a fast-paced, highly professional environment.
  • Candidates must demonstrate excellent verbal and written communication skills including grammar and composition
  • Ability to work well with others & independently.
  • Proven time management skills and a strong attention to detail.
  • Works well under pressure.
  • Extended hours and shift work may be required from time to time.
  • Ensures full compliance with the company’s Health & Safety, Code of Integrity, and Professional Conduct policies.
  • Ability to work well with others, independently and remain at work station for extended periods of time.
