Job Description

Reporting to the Operations Manager, the Logistics Coordinator is responsible for accurate daily, monthly and yearly administrative, reporting and logistical coordination responsibilities. Responsibilities include fleet management and tracking, office supplies and equipment parts ordering, shipping, and receiving.   

Fleet management,

  • Ordering new vehicles, decals, and replacement decals if required.
  • Preparing vehicles for auction
  • Handling of all vehicle maintenance requests.
  • Ensuring all new trailers are registered.
  • Taking care of all rental orders, all license plate issues for Alberta/Montreal. 
  • Kilometre entry
  • Processing of fleet invoices

Purchasing

  • Quotes, approvals, and order processing
  • Receiving parts and repackaging using SGS decals; creating packing slips and ensuring all paperwork is sent to AR for billing.
  • If needed, ensure all TDG packages are sent with the proper documents for transporting
  • Ensuring correct PO #’s have been received from the client before placing orders

Office Management

  • Inspecting all fire extinguishers on a monthly basis. Ensure fire extinguishers are re-certificated yearly
  • General Housekeeping and building-related matters inside and outside
  • Receiving and shipping of all packages
  • All duties at the Fort McMurray location, which include inspections of the nuke storage, leak tests to be performed on time, ensure survey meters are sent for calibration, nuke inspections and all nuke signage updated when needed. 
  • Updating of the tracking sheet and ensuring all CNSC regulations are met 
  • Contact for all insurance certificates
  • Contact for all IT equipment for the FMM offices

Qualifications

Education:

  • High School Diploma; an Administrative Certificate/Diploma in a recognized administration program is an asset

Experience:

  • 2 years of experience in a similar position in the administrative and/or oil sands industry.

Required Skills

  • Knowledge of Oracle applications is an asset
  • Organizational, communication and interpersonal skills are essential.
  • Must be creative, innovative and client-focused.  
  • Must be able to read, understand and follow work instructions in a safe, accurate and timely manner.
  • Candidates must be proficient in using various types of computer software (Word, Excel, PowerPoint and Outlook).
  • Proven ability to manage and coordinate multiple projects in a fast-paced, professional environment.
  • Candidates must demonstrate excellent verbal and written communication skills in English.
  • Ability to work well with others & independently.
  • Proven time management skills and a strong attention to detail.
  • Works well under pressure.
  • Extended hours may be required from time to time.
  • Travel to other SGS locations or client locations will be required.
  • Ensures full compliance with the company’s Health & Safety, Code of Integrity, and Professional Conduct policies.
  • Must have and maintain a clean and valid driver’s licence.
  • Must be willling to become qualified with the proper certification to operate a skid steer, and light duty trucks.
