Job Description

Type of employment: Permanent
Business Line: SGS Minerals
Reporting to: Laboratory Supervisor

• Processing of client invoices, tracking of accounts receivable, processing of accounts payable in C-Class & Boss Systems.
• Maintains payable and receivable accounting files.
• Keys in, edits, proofreads and finalizes reports and other documents.
• Sorts material that is to be filed according to particular filing systems.
• Classify, code, cross-reference, log and stores records.
• General office functions; ordering of supplies, cleanliness and function.
• Maintains and prepares reports from manual or electronic files, inventories, mailing lists and databases. 
• Maintains price lists for contract and general clients.
• Prepare quotes as per client request.
• Sort, process and verify applications, receipts, expenditures, forms and other documents. 
• Ensures smooth operation of office equipment and machinery and arranges for any maintenance and repair work.
• Dispatching of client samples
• Answers telephones and direct calls as needed.
• Provides mutual back-up support to other Administrative staff as required.
• May be assigned and coordinate special or ad hoc projects as needed.

Qualifications

• Minimum of a High School Diploma or a General Educational Development equivalency (GED). 
• A post-secondary education in a recognized administration / accounting program would be an asset.
• 1 - 3 years of previous working experience in an Administrative related role.
• 2 years of previous working experience in an accounting related role.
• Must be able to read, understand and follow work instructions in a safe, accurate and timely manner. 
• Candidates must be proficient in using various types of computer software (Word, Excel. PowerPoint & Outlook).
• Must be able to Multi-Task
• Working knowledge of tracking, filing systems for auditing purposes
• Proven ability to manage and coordinate multiple projects in a fast-paced, highly professional environment.
• Candidates must demonstrate excellent verbal and written communication skills including grammar and composition.
• Ability to work well with others & independently. 
• Proven time management skills and a strong attention to detail.
• Works well under pressure.
• Extended hours and shift work may be required from time to time.
• Travel to other SGS locations or client location may be required from time to time.
