Job Description

Showpad is looking for an Office Manager to support our growing US team.  This is a great opportunity for someone with a solid foundation in Office Management to further develop their skills in the areas of HR and Finance.  Showpad is headquartered in Ghent, Belgium with offices in San Francisco and Portland.  Our US team is just over 10, with plans to grow quickly over the next year. We need a generalist to manage all the operations for the US office - someone who can wear multiple hats, switch gears quickly and deliver consistently excellent customer service to our employees across a number of functions.

Responsibilities  include:

Accounting

  • Enter invoices, credit card and bank transactions into Quickbooks
  • Print and mail checks for all US vendors and contractors
  • Provide monthly financial reporting to HQ
  • Point of contact with accounting firm for documentation requests and reporting as needed
  • Monitor and pay expense reimbursements against Expense Reimbursement Policy
  • Assist with collection of past-due invoices for North American customers

HR

  • New-hire onboading and termination offboarding
  • Reconcile and run semi-monthly payroll for US team
  • Benefits administration via Zenefits
  • 401(k) Administration
  • Monthly and quarterly commission calculation
  • Track and manage PTO policy
  • Coordinate interviews and assist hiring managers with open requisitions

Office Management

  • Order and snacks and drinks, as well as weekly team lunches
  • Maintain look and feel of US office locations, including tenant improvements and equipment and furniture purchases
  • Answer general inquiry phone line and inbox
  • Manage vendors
  • Remote support for Portland team

Qualifications

  • 1-3 years experience as an Office Manager, preferably in a start-up environment
  • A desire to learn more about Human Resources, preferably some familiarity with payroll, onboarding and benefits
  • Experience with Quickbooks or similar accounting software
  • Ability to negotiate with and manage multiple vendors
  • High attention to detail and a dedication to perfection
  • Excellent written and verbal communication skills
  • The ability to handle sensitive information with discretion
  • Approachable, personable working style
