Job Description

Square is looking for a detail-oriented, creative, reliable individual to join the Executive Assistant team, supporting our CFO and her teams: Investor Relations, Accounting, Finance and Strategy, Corporate Development, Treasury, Support, Business Platform Engineering and Square Payroll (Product). Our Executive Assistants are the glue that holds everything together - from calendaring and travel to reporting processes and team support, you will have the opportunity to participate in a wide variety of confidential and strategic tasks to support Square’s objectives and take us to the next level. We are looking for someone with an innate passion for learning, who enjoys taking on new tasks and projects, and who excels at being mindful of details in an energetic, fast-paced environment.

You will:

  • Provide exceptional, detail-oriented administrative support to our CFO

  • Maintain sensitive and complex calendars, requiring coordination with both internal and external executives, investors, and assistants

  • Schedule domestic and international travel, with the impeccable attention to detail that complex travel booking requires

  • Be our CFO’s right hand by attending critical meetings, taking notes and assigning owners to action items while ensuring your executive is prepared for all meetings and events, and assisting with the preparation of presentation materials

  • Collaborate closely with other Executive Assistant(s) also supporting the Finance and Accounting organization, as well as being a knowledgeable resource for leads within the organization

  • Find new and efficient ways to create and maintain systems and processes to help maximize your executive’s time, including weekly reporting, goal setting, and team meetings

  • Prioritize and manage multiple projects simultaneously, proactively identifying gaps and taking ownership of projects; assist with compiling and preparing material and agendas for team meetings, such as all-hands presentations and events

  • Develop a deep understanding of the team and field requests from internal and external contacts,making a point to be available and approachable

  • Key contributing organizer for external meetings and events such as Board Meetings, Earnings Calls and Investor-related events

  • Demonstrate composure and flexibility, regardless of competing priorities

  • Work with our internal Comms team to prepare Sarah for external speaking engagements including coordination with external parties

  • Assist in the scheduling and coordination of our CFO’s external BOD commitments

  • Process travel related expenses

  • Work with a number of internal teams on the execution of Square contracts and other legal documents

  • Liaise our legal team on the scheduling / planning of International Square Boards

Qualifications

You have:

  • Experience handling a wide range of administrative and executive support tasks and projects, and communicating with all types of personalities and stakeholders

  • Extraordinary organizational skills, and appreciation for the challenges of supporting a growing team of diverse personalities and programs

  • The ability to work with team members at all levels, sometimes under pressure, while remaining proactive, resourceful, and efficient, with a high level of professionalism and discretion

  • Expert level written and verbal communication, and technical computer skills including the proficiency with the Google for Business Suite, MS Office Suite, Keynote, and other Apple products.

  • Preferred but not required experience: previous exposure to investors, analysts, company boards, Wall Street and/or FinTech
