Job Description

We’re looking for an Office Coordinator to support our quickly growing San Francisco. This person will be responsible for coordinating office operations, including managing a variety of vendors and services, and ensuring our day to day office experience runs smoothly and efficiently. This person will thrive in a fast paced environment and will enjoy working with a variety of individuals on a cross-functional team. They’ll also play a critical role in bringing our culture, products, and sellers to life in our office space every single day.  

Our ideal candidate is a creative problem solver with high attention to detail, excellent communication skills, and a proactive approach to tackling issues. Most importantly, the right person for this role is someone with strong prioritization skills, navigates ambiguity, and is ready and willing to roll up their sleeves to do what’s needed to get the job done.

This team member is expected to train in all areas of Office work, support core operational duties (such as shipping and receiving, vendor management, daily walkthroughs, office hours), and support projects including events, facilities operations, work order tickets and more. In addition, this role will support cross-functional projects and collaborate with peers and external partners on a regular basis. Flexible hours may be required, with core work largely during regular business hours.

Focus Area Responsibilities

  • Manage multiple vendors and oversee program efficiencies, quality, and cost effectiveness of each vendor’s services.

  • Provide timely updates and feedback for assigned project and/or program initiatives.  

  • Coordinate inter-office moves. Facilitate new hire seat assignments and departure desk cleanup(s).

  • Maintain office function and aesthetic including furniture, decor and office signage.

  • Manage maintenance and repairs as needed.

  • Work with the office manager to connect Squares to each other and our sellers.

  • Support seller experience programs by developing relationships with Square sellers in our community and working with the Office Manager on ways to feature them in the office

  • Contribute to local Office Experience Newsletter and office wide communications.

  • Work cross functionally with our Trust & Safety, AV, and IT Teams.

  • Develop partnerships with peers and other cross functional teams in efforts to align operations for an enhanced employee experience.

Requirements

  • Proven strong vendor management skills.

  • Honest and excellent communication skills both written and verbal.

  • Excellent customer service skills (you work with your customers – our employees – every day!).

  • Ability to support and operate onsite events, manage company collateral.

  • Impeccable attention to detail and strong organizational skills.

  • Resilience and determination to manage projects to completion.

  • Ability to multitask; you thrive in a fast-paced environment, are calm under pressure, and can manage multiple competing priorities.

  • Computer skills: strong familiarity with Apple software and hardware, Google docs, including Google calendar and Google sheets.
