Job Description

As the Creative Sourcing Coordinator, you will support the lifecycle of our creative contractors and vendor management, including sourcing, onboarding and offboarding. Collaborating with creative team hiring managers and cross-functional partners within HR, Legal and IT, you will grow and hire a network of freelance talent and vendor agency talent to support our creative teams on an ongoing basis. You will manage these candidates throughout this process to create an exceptional partnership experience.You will report to the Creative Sourcing Manager within the Creative Operations team.

You will: 

  • Reach out to potential candidates and vendor partners
  • Coordinate interviews across hiring teams
  • Maintain contractor and vendor information in our shared database
  • Support Business Affairs with background checks for 1099 independent contractors
  • Manage all contractual and onboarding details for contractors
  • Help with contractor data collection, start date coordination, and email communications with contractor
  • Create Purchase Requisitions and Purchase Orders, processing vendor and contractor invoices with Accounts Payable (includes working with A/P regarding unpaid invoices)
  • Support Business Affairs Manager with overflow of contract processing into proprietary contract tracking tools
  • Track development of contracts, providing internal contract-related support post execution to cross-functional partners
  • Be a project manager both within the production legal environment and as part of cross-team working groups
  • Submit payment authorizations and manage payment schedules

Qualifications

You have:

  • 2+ years of experience
  • A basic understanding of creative roles 
  • Experience drafting contracts
  • Experience with databases and vendor onboarding processes
  • Proficiency with Oracle, Google Apps, & Google Calendar
