Job Description

As a part of our Brand and Purpose team, the Operations Lead will be responsible for leading operations on the team which includes trafficking and coordinating cross-functional work from development through execution for projects and campaigns of varying size and scope. The Operations Lead will serve as the DRI to promote constant and effective communication of project work-flow across the team and with key stakeholders. 

You will:

  • Lead and facilitate traffic meetings to intake and screen all new projects, assign resources, give status updates, and highlight team priorities.

  • Collaborate with the team's internal disciplines (Comms, Intelligence, Creative, Digital), project requestor(s), stakeholders, and cross-functional teams to outline project scope, goals, deliverables, required resources, budget, and timing. 

  • Create detailed schedules and timelines, coordinating key dates for review and approval work. 

  • Lead and facilitate project check-ins to keep teams on track, document decisions and action items, manage project budgets, follow up with owners on commitments, and ensure expectations are clear.

  • Foster strong cross-functional relationships across the company.

  • Track and report on project milestones to appropriate audiences.  

  • Lead, coach, and motivate project team members on a proactive basis. 

  • Resolve issues and solve problems throughout the project life cycle. 

  • Host and moderate timely 'retro' meetings to collect process-related feedback.

  • Ensure all project documents are properly archived following project completion. 

  • Identify, improve, and refine tools and processes associated with project management and execution. 

  • Manage multiple project workflows, often with overlapping importance and urgency. 

  • Create and manage project budgets and the annual brand budget.

  • Lead annual planning and budgeting forecasting annually.

  • Manage a team which includes a Creative Producer and Digital Project Manager.

You have:

  • 10-15 years' of project management experience in a creative environment.

  • Familiarity with creative processes, marketing channels, media outlets and associated deliverables.

  • Experience with project management tools

  • Experience working in a team-oriented, collaborative environment.

  • Excellent problem solver, multitasker, and communicator.

  • Ability to communicate clearly with peers, across disciplines, and vendors.

  • Ability to elicit cooperation from senior management and other departments.

  • An eagerness to try (and adopt) new applications and working methods.

  • Dedication to delivering great work and meeting deadlines.
