Job Description

The Receptionist/Administrative Assistant is responsible for overall front office activities, including answering a multi-line phone system, managing the reception area, distributing mail, providing support for the executive staff and purchasing and maintaining office supplies for multiple sites. This position will report to both our Menomonie and Eau Claire, WI locations and must have reliable transportation as some travel is required.

 Must be reliable, punctual, organized, and have demonstrated ability to juggle multiple priorities and split time between two busy offices; Menomonie and Eau Claire. Excellent interpersonal skills, pleasant phone manner, proficiency in Microsoft Word, Excel and PowerPoint are required.

 Responsibilities

  • Manages the reception area to ensure effective telephone communications both internally and externally to maintain professional image.
  • Supports executive staff to ensure accurate and timely correspondence.
  • Orders and maintains office supplies and furniture, office equipment, etc.
  • Ensure that the facility is well maintained and repairs are handled appropriately
  • Greets visitors and host potential candidates
  • Processes applications and new hire paperwork as needed
  • Answers and disseminates calls
  • Creates and updates various spreadsheet sheets and other general administrative duties as needed.
  • Completing Background checks on newly hired advisors
  • Sending out correspondence to applicants 
  • Updating various trackers for each site
  • Perform other duties as assigned 

Qualifications

  • Proficiency in Microsoft Word and Excel as well as other Office programs like PowerPoint and Outlook.
  • Ability to manage calendars in Outlook
  • Working knowledge of office machinery
  • Good Planning and organizational skills
  • Well-developed interpersonal and communication skills
  • Professional appearance and manner
  • Computer literacy, specifically Microsoft programs
  • At least two years of previous administrative office experience
  • Capacity to deal with ambiguity under pressure
