Job Description

The duties of the Parliamentarian are to assist the Speaker of Council with the preparation of documents and to fulfill the duties of the Speaker of Council if required.

RESPONSIBILITIES:

1. Before Council meetings and General Assemblies, prepare all necessary documents for
the Steering Committee;
2. After Steering Committee, format and finalize all necessary documents for Council and
General Assemblies and ensure these are accessible on the website, with the
collaboration of the Communications Department and Governance Manager;
3. During Council meetings and General Assemblies, control and edit as required
(minutes and motions);
4. After Council meetings and General Assemblies, finalize documents (approved
minutes, motions and reports);
5. Liaise with Councillors and staff in regards to various inquiries;
6. Work in collaboration with the Speaker to prepare and finalize Legislative Council,
General Assembly and committee documentation;
7. Work in collaboration with the Governance Manager and the Communications
Department to ensure updated documents are accessible on the website, and to
ensure that confidential documents are managed appropriately;
8. Co-chair the Accountability Committee;
9. Chair the Nominating Committee;
10. Reviewing applications, conducting interviews and providing final reports of the
Nominating Committee;
11. Working in collaboration with the Speaker to ensure the room is set up, including
moving tables, chairs, microphones;
12. Ensuring that preparatory measures are taken prior to meetings of Legislative Council.

Qualifications

1. Diligence and impartiality in execution of duties;
2. Ability to work in a high-pressure environment;
3. Good communication skills in English and French;
4. Highly organized and strong attention to detail;
5. Knowledge of Robert's Rules of Order and Code Véronneau;
6. Knowledge of the SSMU's Internal Regulations, Constitution, Policies & Plans and
Committee Terms of Reference.
