Job Description

The MiniCourses Registration and Website Coordinator (R&W Coordinator) is responsible for coordinating and administering MiniCourses registration and for maintaining the MiniCourses website. 


RESPONSIBILITIES:

1) Maintain the MiniCourses website by ensuring accurate and up-to-date information is present regarding course offerings, registration deadlines, locations, etc.

2) Administer registration, including setting up the online registration and payment system, administering refunds, course transfers, course cancellations, credit issuance and redemption, and cash registration. 

3) Report to the Vice-President (Operations) and the MiniCourses Supervisor on current registration quantities and trends.

4) Communicate with customers regarding registration issues, payment issues, and course cancellations. 

5) Communicate with instructors regarding registration counts.

6) Create, distribute, and review online course evaluations.

7) Update or design the MiniCourses website, as needed.

8) Assist with in-person registration (i.e. tabling) as needed.

9) Hold open office hours for customers experiencing registration issues.


WORKING CONDITIONS:

1) High pressure work environment - the R&W Coordinator receives more than 30 emails per week from student groups, many of which are time-sensitive inquiries or complaints.


Qualifications

1) Web design knowledge: basic skill with html (CSS). 

2) Experience designing and implementing systems and procedures.

3) Intermediate knowledge of Microsoft Excel.

4) Reliability, integrity, organizational skills, planning skills, attention to detail, analytical skills.

5) Good communication skills in English required, French an asset.

6) Specific knowledge of payment software (e.g. Stripe, Square, Paypal) and forms software (e.g. Wufoo) an asset.

Additional Information

  • Paid position: $13.48 per hour
  • Hours: On average 10 hours per week
  • Contract: May 1st, 2016 - April 30th, 2017 (May 1st through August 31st availability being an asset)
