Job Description

The Texas Workforce Commission (TWC) is hiring a Program Specialist I in the
Conference Planning and Media department.

This position performs routine
consultative services and technical assistance work. The Program Specialist I:


1. Develops contracts for bidding following State of Texas
requirements.
- Writes bid specifications and evaluates contracts for
services appropriate for meetings.
- Monitors contracts by checking billings,
fiscal data and compliance with terms of contract and policies.
- Serves as a
liaison with contract provider to ensure proper services have been rendered for
our clients.
- Handles entire process of meeting from beginning to final
payment of invoice.

2. Directly assist with coordinating, scheduling and
confirming meeting rooms and lodging for agency personnel and programs
conducting statewide meeting/conferences and training.
- Responsible for
program-specific conference planning for the Texas Workforce Solutions (board,
contractor, and TWC).
- Maintains reference files for statewide meeting
facilities and hotels.
- Schedules meeting and reserves rooms for the TWC
State Office Complex: confirms room set-up and coordinates audio/visual
needs.
- Develops and coordinates registration for conferences and
trainings.
- Provides registration assistance which includes notification and
confirmation to registrants and staff of trainings.
- Prepares and process
appropriate forms for hotel direct bills of sleeping room and meeting room
rental- Handles all registration and billing for the TWC Statewide Conference
and other agency meetings.
- Prepares and distributes rooming confirmation
lists for hotels and agency personnel.
- Conducts site visits and meets with
hotel representatives when necessary.- When necessary also helps with travel of
agency personnel.
- Provide on-site registration when necessary.
- Handles
statewide calls for the Texas Business Conferences.

3. Directly assists
Director with coordination of Texas Business Conference Meetings, Statewide
Conference and Adhoc meetings
- Assists with all aspects of the TBC Meetings
including on-site coordinating of meetings.

4. Provides support for
agency Meeting/Conference Coordinator to ensure efficient work-flow of office.

- Answers telephones, prepares and edits agency correspondence, reports,
forms, memoranda, contracts, vouchers, process mail, operates fax and Xerox
machines, handles routine office tasks and performs messenger tasks.

Maintains files and records correspondence and contract relating to meeting and
conferences.

5. Sets up and facilitates A/V needs for agency meetings and
conferences.
- Performs, coordinates, and facilitates audio/visual needs for
agency meetings and conferences within TWC, Capitol Complex, and statewide
events.
- This position involves 25% travel.

Qualifications

Minimum Qualifications:
Program Specialist I Graduation from an accredited
four-year college or university plus two years of full-time experience in the
development, implementation, or interpretation of policies and procedures in a
public or private agency.
Twelve semester hours of graduate study from an
accredited college or university may be substituted for each year of the
required qualifying experience.A doctorate degree from an accredited college or
university will satisfy the minimum qualifications.One additional year of
full-time qualifying experience may be substituted for each year (30 semester
hours) of the required education.

Preferred:
Bachelor's Degree

The salary range for this position is $3,081.33-$3,539.86 per month,
depending on qualifications.
