Job Description

Visa Corporate IT (CIT) group has embarked on a major transformation journey. We are transforming ourselves into a true engineering organization where we put customer experience and end user support first. As part of this strategy, we are evolving our business and logistical functions to be more agile, in support of a modern workforce. In terms of this role, this change is geared towards rethinking how we manage the hardware and software we deploy to our end users. We are evolving the request and service process to enable our end users to be more effective, while removing barriers to success.

As a member or the End User Systems Support team, the IT Procurement and Supply Chain Manager will be responsible for procuring the user assets needed by our 16,000+ global end users. In addition, this person will take a leadership role in executing effective and efficient procurement and supply chain services, ensuing values and competencies in maintaining transparency, integrity, and compliance. The successful candidate will be required to derive operational metrics which align to OLA/SLA's across the function, and manage continuous improvements with regards to accurate and appropriate inventory across the enterprise.

Job Scope:

Reporting to Visa's Sr. Director of End User Systems Business Operations, this role supports delivery of financial and logistical acquisition of End User Systems devices\software. Primarily a business office function, this role has significant impact on the day-to-day success of the overall transformational journey of Corporate IT. The candidate will work with internal customers and peers to ensure the timely delivery of hardware and software. Additionally, this resource will assist with End User Systems budget forecasting, analysis, cost of ownership metrics, etc. Candidate will be challenged to work with peers to derive TCO improvements and overall vendor management activities.

The ideal candidate will have previous experience with purchasing, budgeting, asset lifecycle, inventory management and reporting, process development\optimization and significant global logistical exposure to on time delivery of services\assets.

Responsibilities:

The Procurement and Supply Chain Manager will take a leadership role in executing effective and efficient procurement and supply chain services performing the following responsibilities, that include but are not limited to:

Operational

  • Managing the entire process in the planning and execution of procurement and supply chain activities, inventory control, logistics and distribution, ensuring effectively-functioning processes to avoid costly delays and lost opportunities.
  • Managing financial budget of assets and peripherals, including forecasting and reconciliation on a monthly basis.
  • Reconciling inventory across a variety of systems and statuses (in stock, in use, legal hold, etc.) as well as wiping/disposal activities.
  • Ensuring timely delivery of goods, works and services using the most appropriate procurement procedures.
  • Ensuring competitive pricing and the best options from suppliers.
  • Managing and monitoring all transactional procurement including purchase processes, evaluation, contract management, legal considerations and payment conditions, contractors, performance evaluation and risk assessment.
  • Ensuring timely preparation of procurement plans for projects and new hire activities and monitor their implementation.
  • Negotiate with vendors for optimal pricing and service delivery.
  • Monitor and analyze contract performance against agreed benchmarks through agreed reporting mechanisms and advise projects on potential issues and recommend remedial actions.
  • Facilitate customs clearance of imported supplies, materials and equipment as necessary.

Controls and reporting

  • Guaranteed accurate inventory reporting.
  • Ensuring audit and control regulations are met, including asset reconciliation and disposal certifications.
  • Ensuring full compliance of procurement activities, financial rules and regulations, relevant organizational directives and administrative Instructions.
  • Preparing monthly, quarterly and annual procurement plans and progress reports as required.
  • Regular submission of procurement activity reports, logistics and asset reports to management and projects.
  • Ensuring all activities are compliant with standard reporting requirements and audits.

Interrelationships

  • Partnering with Finance team to forecast and manage equipment budget.
  • Ensuring effective lines of communication between stakeholders, some of which are within the EUS department, but also between Finance, Procurement and other cost center owners.
  • Managing relationships with vendors, suppliers and contractors to facilitate smooth flow of services.
  • Liaising with the Global Sourcing team to maintain cohesive hand offs between governance and implementation.

Strategic

  • Maintaining close oversight of vendor strategy and equipment roadmaps to ensure currency and advance notice of model changes: Anticipate change, procure test devices well in advance of general announcements, balance global inventories to ensure sufficient stock against the timing of new model releases.
  • Providing oversight over various contract management processes and ensure transparency.
  • Ensuring effective use of internal Standard Operating Procedures in Procurement, control of workflows, continuous business processes monitoring and delivery of improvements in systems and/or processes.
  • Recommending continuous improvements to sourcing, supplier selection and evaluation, quality management, supplier relationship management and performance measurements.
  • Introducing new processes to improve equipment deployment, specifically for new hires and inventory refresh.
  • Developing and managing the rosters of suppliers, supplier selection and evaluation, quality and performance measurement mechanisms.
  • Introducing options throughout the supply chain and identifying new opportunities/vendors/suppliers without jeopardizing quality and service delivery.
  • Proposing alternative sourcing when it benefits Visa.

  • Knowledge of PC, MAC and peripherals.
  • Ability to lead procurement processes using specific procurement methods and to analyze procurement and supply chain service requirements.

Qualifications

  • Bachelor degree in Procurement, Supply Chain Management, Business Administration, Commerce, Economics, or related field.
  • At least 5 years of progressively responsible experience in the delivery and management of procurement and supply chain services, logistics and assets management.
  • Proficient in the use of computer applications and systems.
  • Expert in Office and field related software, such as PowerPoint, Outlook, Excel, etc.
