Job Description


  • This position will involve managing a complex executive calendar that includes scheduling meetings and travel, video conferences, trainings (off-site and/or internal), and group events

  • This position reports to the  VP- Developer Platform and primarily focused on the VDP Technology Organization.

  • Administrative support duties will include, but are not limited to, the following:

    • Serve as a first point of contact for executive and developing systems to prioritize executive's time and activities

    • Drafting correspondence, calendaring meetings, answering and screening executive's phone calls and directing inquiries to the proper party within the team

    • Making extensive travel arrangements (airline and hotel reservations) and processing expense reports

    • Assisting with developing and updating PowerPoint presentations, Excel spreadsheets and other documents as needed

    • Preparing meeting materials including assisting with the creation of presentations, handouts and other related materials as well as printing, binding and collating of materials

    • Establish and maintain effective and cooperative professional business relationships with all levels of management, employees and outside clients

    • Act as a liaison, creative problem solver, and facilitator in managing support responsibilities

    • Act as a lead on the facilitating and coordination of communications and administrative procedures across the team

    • Coordinating conference/meeting room set-up, ordering catering, and making logistical arrangements

    • Providing back up assistance to other administrative support team members as needed

    • Support projects as needed for the executive such as employee rewards programs and the creation of functional org charts


Qualifications

  • Bachelor's degree
  • 5+ years of experience supporting a very high level executive for rigorous sectors such as investment banking, private equity or VC companies

  • Strong command of English language and grammar

  • Strong verbal and written communication skills and ability to communication effectively with all levels.

  • Flexibility and a professional/approachable appearance and helpful demeanor

  • A positive, upbeat personality and excellent interpersonal communication skills

  • Highest moral and ethical character

  • Experience working with highly confidential information

  • Good judgement, common sense and excellent attention to detail

  • Highly advanced MS Office skills and technologically savvy (Word, Outlook, Excel & PowerPoint)

  • Strong presentation and slide development skills (PPT)

  • Ability and openness to actively use different internal systems (e.g. Oracle iProcurement, Oracle iExpense) and technology – to complete tasks

  • Ability to “see the big picture”

  • An understanding of how to leverage a busy executive's time and willingness to do what it takes to contribute to their success and the success of the company
