Job Description

This position will be responsible for the high level executive administrative support for several Visa Executives in the Charlotte, NC office.  Responsibilities include:

  • Managing complex senior executives calendars that includes heavy meeting scheduling, travel reservations, video conferences, trainings (off-site and/or internal), and group events.
  • Ensuring the smooth operation of the Charlotte office, including coordinating equipment maintenance and repairs
  • Serving as a first point of contact for executive and developing systems to prioritize executives time and activities
  • Drafting correspondence, calendaring meetings, making copies, answering and screening phone calls and directing inquiries to the proper party within the team. 
  • Making extensive travel arrangements (airline and hotel reservations) and processing expense reports. 
  • Assisting with developing and updating of complex PowerPoint presentations, Excel spreadsheets and other documents as needed. 
  • Preparing meeting materials including assisting with the creation of presentations, handouts and other related materials as well as printing, binding and collating of materials.  
  • Establish and maintain effective and cooperative professional business relationships with all levels of management, employees as well as with outside clients. 
  • Provide executive support and secondary support (i.e. T&E, expenses and scheduling large/complex meetings) for executives and their direct teams.
  • Proactively anticipate meeting preparation, including scheduling prep meetings, requesting meeting materials and briefing docs.  
  • Preparing meeting materials including assisting with the creation of presentations, handouts and other related materials. 
  • Coordinating conference/meeting room set-up, ordering catering, and making logistical arrangements. 
  • Support projects as needed for the executives such as employee rewards programs, organizational charts, monthly reporting, etc.
  • Provide sales support for specific projects on an as needed basis.
  • Shared responsibility for local office management support for assigned duties such as Pcard purchases, business licensing, ordering of office supplies, etc.
  • Providing back up assistance to other administrative support team members as needed and collaborate with other executive      administrators to provide coverage during PTO.
  • Coordinating the on-boarding of new employee’s office space, computers, phones, badges, business cards, etc.

Qualifications

  • Bachelor's degree or equivalent experience and 10+ years of administrative experience required.
  • Must have experience supporting high level executives in a fast paced environment
  • Flexibility and an approachable personality - with a demonstrated ability to multi-task and prioritize work with a strong attention to
    detail.
  • Highly advanced MSOffice skills and technologically savvy (Word, Outlook, Excel & PowerPoint, Salesforce a plus)
  • Strong presentation and slide development skills (PPT)
  • An understanding of how to leverage busy executives time and willingness to do what it takes to contribute to their success and the success of the company.
  • A high level of discretion and confidentiality for both business and personal affairs
  • Good judgment, strong common sense and excellent attention to detail
  • A professional appearance and demeanor, excellent communication skills
  • Must be a self-starter and able to work with little or no supervision.
  • Ability to effectively communicate and collaborate with a diverse range of people and job functions.
  • Exercise excellent judgment in setting priorities and interacting with internal and external contacts.
