Job Description

Overview:

The primary purpose of this position is responsibility for all aspects of set up, execution and maintenance of Visa’s Global Sourcing contracts and process. This position will adhere to the standards for entering data and end-use of the contract management tool, support management and distribution of reporting from the tool to internal stakeholders and assist in on-going maintenance of the information and tool to ensure contracts records are complete globally and in compliance with Global Sourcing and Visa document retention standards. This person will assist all Global Sourcing Category Leads, various internal stakeholders and business owners with contract review, accuracy and overall management.

Responsibilities

  • Manage contract requests and procure to pay transaction activities.

  • Manage the contract approval process from beginning to end, including entering agreements into contract management systems and preparing summary reports, checking that contracts meet Visa requirements, creating contract records, facilitating approval/signature requests and notifications, and creation and management of content database.

  • Review and ensure completeness of contractual data; resolve discrepancies and missing or incorrect data with Category Leads

  • Populate contract terms and conditions into records of contract repository and ensure
    reminder flags and notifications are set up and maintained to ensure category
    teams have visibility for contract expiration.

  • Validate contract documentation input and flag areas of non-compliance for remediation

  • Receive and enter manual contract changes as requested by category teams or others within Global Sourcing.

  • Provide support and ad hoc analysis for contract inquiries.

  • Review contracts submitted for execution for required approval documentation and upload to contract repository.

  • Assist users in solving both functional and system issues.

  • Assist Global Sourcing team with supplier risk reviews, onboarding, evaluations, name changes, renewals, terminations and other contract activities

  • Support category teams with contract creation requests, manual contract changes and ad hoc contract inquiries via the SourcingContractRequests mailbox

  • Upload agreements into contract management systems and prepare summary reports, and facilitate creation and management of content database

  • Support stakeholders and business owners with contract support/requests as necessary

  • Follow best practices in the storage and maintenance of contracts

  • Support production of monthly and ad hoc reporting from contract management tool on contracting activity

  • Support generation of status reports and other documents for projects (requires to understand relationship between Excel and Contract Management Repository systems)

Qualifications

Professional

  • 3+ years of experience in contract administration and records maintenance using an industry standard contract management tool, e.g. Ariba, DocuSign, and Oracle is preferred.
  • Basic contracts management experience.
  • Professional accreditation in sourcing, procurement or inventory management a plus.

Technical 

  • Knowledgeable about contracts, purchase requests, purchase orders, supplier setup, and catalog document processing.
  • Experience managing internal customers and users of the contract management and maintenance tools (e.g. category managers, buyers, deal teams, business users, others).
  • Ability to quickly learn new systems and tools.
  • Ability to prioritize and multi-task. 
  • Passionate about general database record management.
  • Strong process and time management skills.
  • High level of self-motivation and initiative, and ability to operate effectively as a team player.
  • Demonstrated thought leadership and the aptitude to think creatively and to identify new ways to approach problems and solutions related contract administration, contract maintenance and management.
  • Proficient in MS Office Suite (Excel, Word and PowerPoint), Ariba Contracts Management and Procure to Pay, Oracle a plus.
  • Highly motivated; demonstrates a "can-do" approach in being proactive with work assignment.

  • Excellent communication skills; written, oral and presentation skills and an ability to synthesize information and make concise recommendations on course of action.
  • Demonstrated ability to effectively handle issues and challenging situations .
  • Ability to interface with all levels of the organization.
