Job Description

Individual contributor who will be responsible for providing support to senior leaders in a global product and operations organization, who may be required to independently tackle problems.

Job scope

Supporting Global Business Operations and Strategy Execution teams based in San Francisco area. The person will support up to 4 VPs/SVPs in these functions. As a result, the you will lead multiple priorities and provide consistent support. Your work hours will need to be aligned with USA Pacific Time Zone.

Responsibilities
  • Running calendars, scheduling onsite and offsite meetings in Visa’s San Francisco, Foster City and other offices, and handling all related logistics, including but not limited to: reserving hotel accommodations, coordinating meeting room set-up, preparing for video conferences, conference calls, and ordering catering and assisting in preparation of meeting materials.
  • Make travel arrangements (airline and hotel reservations) and gather documentation for travel visas as needed.
  • Developing PowerPoint presentations and maintaining group artifacts.
  • Prepare meeting materials including working with Foster City based print shop / mailroom for printing, binding and collating of materials, and building binders, and for shipping.
  • Process expense reports and serve as general point of contact for reports submitted.
  • Work including office needs services: move requests, supplies, desk set up for new hires / contractors.
  • Provide onboarding support for new employees
  • Maintain file shares and document repositories



Qualifications


  • Bachelor’s degree plus a minimum of 4-6 years of project analyst and administrative experience required; preferably in public company.
  • Validated reputation for discretion; ability to handle confidential and sensitive information with poise and integrity in all communications.
  • Experience operating effectively and expertly while handling multiple assignments in a dynamic environment with little supervision.
  • Good judgment regarding information which may be confidential or material, non-public.
  • Ability to multi-task and prioritize work with a strong attention to detail.
  • Proven analysis and project analyst skills; excellent planning, organizational and written and verbal communication skills.
  • Proven ability to exercise good judgment in setting priorities and interacting with internal and external contacts.
  • Advanced proficiency in Microsoft Office
  • Customer service-focused with ability to work collaboratively with others.
  • Enthusiastic and solution oriented, looking for ways to contribute and assist the team.
  • Should have familiarity with invoicing and approval systems, basic accounting, and project management.
