Job Description

This position will be responsible for high level administrative support for the President and Country Manager of Visa Canada. Must have the talent of staying steps ahead and anticipating needs. Looking for someone who enjoys the EA role, is confident and capable, and has depth and experience working with executives. 

This is a great position for a Career Executive Assistant who wants to partner with a senior level executive in a long term position.

RESPONSIBILITIES

  • Effective in-person, phone & email presence
  • Act as first contact for the President & Country Manager of Canada and play role of liaison, problem solver, and facilitator.
  • Act as the Senior Executive Assistant and provide mentorship to the other executive assistants in the Canadian office.
  • Manage the receptionist to ensure a professional face of Visa to clients and partners.
  • Ability to organize and prioritize across competing priorities
  • Prepare “week ahead,” and “day ahead”
  • Track open issues and follow-up items to closure
  • Ability to manage high volume email and synthesize actions needed
  • Professional method for “acting, declining or redirecting”
  • Ability to decline invites quickly, simply and professionally
  • Ability to manage agendas for key meetings such as the Canadian Leadership Team and Account Executive Leadership Team.
  • Ability to work with key leaders in the Canadian office to ensure timely delivery of their commitments (e.g., reports).
  • Ability to organize key staff events (e.g., All Staffs, bi-annual reviews).
  • Coordinate complex International Travel Requirements (Itinerary, Visas)
  • Heavy electronic filing, expense reporting & record keeping
  • Preparation of high-level meetings and events involving multiple companies
  • Comfort with purchase card, occasional Purchase Order & invoice support

Qualifications

  • Bachelor's degree (4 year college degree)
  • 10+ years of experience supporting high level executives preferably in a global, public company
  • Must have experience in supporting executives in a fast-paced and demanding work environment.
  • Demonstrated professionalism and experience in working with highly confidential
    information.
  • Can-do attitude; must be proactive and solution oriented, looking for ways to add value and assist the team.
  • Demonstrated ability to multi-task, respond to needs quickly and efficiently and prioritize work with a strong attention to detail.
  • Must be a self-starter and able to work with little or no supervision.
  • Professional demeanor and ability to effectively communicate and collaborate with a diverse range of people and job functions.
  • Exercise excellent judgment in setting priorities and interacting with internal and external contacts.
  • Demonstrated ability to anticipate the needs of the executive and team.
  • Ability to work well under pressure and respond to tight deadlines.
  • Excellent verbal and written communication skills.
  • Strong focus on customer service, team player mentality and ability to work collaboratively with others.
