Job Description

JOB SCOPE:
 
This is an individual contributor role with a primary focus on team support, with responsibility for the ownership and execution of specific tasks. It is at a developing professional level and receives a moderate level of guidance and supervision.
 
Project and Functional Coordinator 
•    Project Management/Calendars:  Assist in management of the team’s calendar, including major efforts across the M&C organization such as annual planning, capabilities and development programs, functional communications
•    Onboarding Program:  Provide support as needed for newly developed functional-onboarding program, in partnership with global and regional team members and Visa Inc.   Assisting with onboarding new Global M&C employees including set up of workstation, technology and onboarding checklist
•    Document Maintenance: Support requirements for functional documentation, record keeping, and other needs to support Audit and Compliance requirements  
•    Organization Chart Updates:  Lead process to ensure org charts are updated across global and regional M&C teams
•    Writing Support: Support weekly updates on M&C key activities and other communications as assigned
•    Events Support: Participate in the planning and execution of functional all-staff meetings and employee engagement events, including coordinating logistics 
•    Support for Functional Training Programs:  support team in communicating/supporting logistics as needed for functional training programs.  Assist in documenting participation in learning programs as needed
•    Project Management: provide project management/coordination support as needed on select projects 

Administrative Support
•    CMCO Support:  Lead all aspects of executive administrative support for the CMCO when she is in Bay Area (SF and Foster City locations).  Provide calendar management, travel support, and other on-the-ground support as needed.  Serve as backfill for CMCO Executive Administrator (EA) when EA is out of office
•    Calendar Management: Assist in the management of the team’s calendars, including scheduling meetings, conference calls, proactively resolving / rescheduling conflicts
•    Expense Management / Supplies: Process expense reports on behalf of the team  Managing purchasing cards, and managing procurement of supplies, devices and equipment
•    Meeting Coordination: Handle room bookings, conference call needs, AV needs and catering, including support for quarterly MCLT in-person sessions
•    Travel Arrangements:  book/revise flights, manage process to obtain travel visas, hotels, car, etc., place all key travel information on calendar, submit expense reports in a timely manner and manage corporate card billing and reconciliation
•    Liaison: Communicate and collaborate with a broad range of Visa professionals on behalf of the department.  Facilitate and coordinate communications and administrative procedures across the team

 

Qualifications

Requirements:
•    Minimum of a B.A./B.S. in Communications, Marketing or related discipline
