Job Description

Switchboard & Reception:

  • Ensuring that the switchboard is manned at all times.

  • Correct answering of calls, taking of messages, ensuring that the person has received the message.  Ensure that the caller is given accurate information or is directed to an appropriate alternative if Visa is not the correct port of call.

  • Ensuring that the phone has been diverted to voice mail at night.

  • Pleasant, friendly meeting and greeting of visitors to the Visa office.  Showing them to client waiting area for refreshment, ensuring that the relevant person is aware the person has arrived and informing the staff member which meeting room they are to use.

  • Assist the Tea Lady with providing refreshments to visitors and/or assisting with self-service waiting area.

     

    Meeting Room Management:

  • Maintenance and accurate management of bookings of meeting rooms. Ensuring that the meeting rooms are presentable and ready for the next meeting.

     

    Administration Assistance:

  • Assist staff with all courier requirements, including receiving, packing and dispatching of goods.

  • As and when required assist with large-scale printing and/or copying jobs for example presentation material, and the binding of these.

  • Scanning and sending of documents that are required in this format.

  • Distribution of mail to staff.

     

    Building Access Management:

  • Ensure that all staff have access tags for the building.

  • Ensure that all temporary tags issued are returned.

     

    Catering Management:

  • Ordering of breakfasts/lunches and setting up for large meetings as and when required.
  • All the internal catering & preparation for staff meetings & staff gatherings at the office.

    Procurement Card

  • Monthly reconciliation and submission of expenses on Procurement Card

Corporate Card Administration

  • Requests for new cards

  • Requests for limit increases

  • Handling of queries / fraudulent transactions, etc.

  • Filing of monthly statements

    Office Supply Management:

  • Ordering of office supplies (stationary, printing consumables and groceries).

  • Ensuring sufficient levels of supplies at all times.

  • Managing the store room where stocks are kept.

  • Manage the supplier relationships.

    Subscription Management:

  • Ensuring that industry reading material is kept neat, also ensuring that old reading material is replaced with new material. 

  • Keeping a subscriptions register, listing all subscriptions and when they are due for renewal, and the renewal of such.

Qualifications

Minimum 5 years administrative or receptionist experience

Relevant degree or diploma preferred.
