Job Description

Position Summary

The HR Shared Services Operational Analyst must demonstrate the ability to manage Leave of Absence (LOA) claims from receipt of claim to return-to-work, ensuring all processes and federal and state regulations are followed. Candidates must have extensive knowledge of FMLA, comparable state regulations and case management experience and must be proficient in LOA policies.

 Responsibilities

  • Responsible for the end-to-end administration and tracking of the FMLA, STD, LTD, Military, workers comp, company-sponsored leaves, and all state mandated leave types.
  • Acts as an advisor to employees and managers regarding leave and PTO policies and procedures.
  • Tracks LOA information in Workday
  • Collaborates with Legal, Benefits and Employee Relations regarding employment decisions when approved leave time is exhausted, an exception to policy is requested, or according to policy.
  • Identifies trends and make recommendations to stakeholders regarding employee experience related to the program
  • Liaises with the third-party administrator (vendor) to help ensure a seamless process
  • Maintains close contact with employees on leave and keeps manager informed about expected duration, extensions, etc.
  • Produces and manages reporting metrics and analytics for all leave cases and workers’ compensation claims. Presents reports as requested.

  • Responsible for the administration of the life insurance and survivor income benefits programs, including submitting and tracking claims, providing support to survivors, and partnering with management.

  • Manages all requests professionally and confidentially that come from employees & managers using the HR case management tool and ensures that responses are provided within the agreed SLA.
  • Responsible for all data management activities related to employees on leave (data entry, data validation and data processing). This also includes validating payroll report to ensure that employees are compensated correctly.   
  • Maintains expertise and knowledge by creating an environment of continuous process improvement for LOA processes and undertake regular reviews with key stakeholders to drive the program
  • Responsible for training and regularly updating the knowledge base to enable tier 1 support questions related to all types of Leave   
  • Stays abreast of changing regulations to be able to provide guidance and direction to teams to help mitigate risk exposure

 

Qualifications

  • Bachelor’s Degree in Human Resources/ Business Administration or any other relevant field
  • Must have at least 5 years of progressive Human Resources experience
  • Previous experience of an Leave of Absence administration process with a strong customer service focus a plus
  • Knowledge of HR policies and practices related to leave administration
  • Experience of Case Management and Document Management is a plus
  • A logical, problem solving approach and exemplary decision making skills
  • Strong knowledge of multi-state Workers Compensation regulation a plus
  • Highly organized and a strong team player
  • Strong communication, organizational and customer service skills
  • Proven ability to work successfully in a fast-paced environment while maintaining good relationships with co-workers and supervisors
  • Maintain high level of confidentiality at all times
