Job Description

The Executive Administrator role provides broad-based administrative and project support for the SVP, Strategic Initiatives and members of the Strategic Initiatives team.  This position handles confidential, complex, and critical tasks and will also require working knowledge of Visa’s business strategy and key relationships as well as departmental and company policies and practices.

Responsibilities:

  • Manage and trouble-shoot ongoing executive calendar commitments and global travel
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
  • Create and edit PowerPoint presentations, Word documents, and Excel spreadsheets.  Manage tight document turnaround timeframes.
  • Interface and build relationships with key client relationships through efficient and reliable communications.
  • Take ownership of a variety of tasks that need to be performed on a routine basis (for example, records management and maintenance of department SharePoint sites and Shared Drive).
  • Independently perform support functions including scheduling onsite and offsite meetings, and handling all related logistics, including but not limited to: hosting visitors, coordinating meeting room set-up, preparing for video conferences, conference calls, and ordering catering and assisting in preparation of meeting materials.
  • Order office supplies, photocopy, and prepare shipments.
  • Make global travel arrangements (airline and hotel reservations).
  • Assist in tracking and reconciling expense and purchase order workflow and ensure reports are prepared and submitted on a timely basis.
  • Provide backup assistance to other administrative support team members as needed.

Qualifications

  • Bachelor’s degree preferred; with a minimum of 2-4 years administrative experience
  • Excellent calendar management skills, including ability to coordinate internal and external meetings
  • Self-starter, comfortable working independently and able to work collaboratively with a variety of team members
  • Able to identify opportunities to improve existing processes that result in enhanced team productivity
  • Able to maintain professionalism and confidentiality when dealing with sensitive information and business matters, particularly in any written communication
  • Excellent verbal and written communication skills
  • Exceptional organizational skills, able to multi-task and prioritize work with strong attention to detail
  • Able to operate effectively and efficiently in a challenging, fast-paced environment. Proficient in Microsoft PowerPoint, Excel, Word and Outlook.
