Job Description

This Executive Administrator position will be responsible for a broad range of managerial and organizational support duties for a senior member of Visa Inc.'s Technology Team.  We are looking for someone who takes great pride in being an Executive Administrator and who will serve as an ambassador for Visa and the Network Processing – Switching Systems team.

The successful candidate must be able to handle details of highly confidential and sensitive information, comfortably interact with senior level leaders within and outside the company, as well as with customers, vendors and visitors.  The Sr. Administrative Assistant must exhibit strong organizational, written and verbal communication skills and possess the ability to interact with global staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient.

A high level of professionalism and confidentiality is crucial to this role.  Attention to detail and the ability to anticipate the needs of the leadership teams are a must.  The ability to credibly and competently interact with other executive administrators is required.  The candidate must demonstrate the ability to accommodate a flexible work schedule, based on the needs of management and the department.

  • Plan, organize and manage multiple calendars; includes resolving over-lapping commitments and protecting time for priorities, scheduling of staff and individual meetings, teleconferences, team off-sites, and other events
  • Coordinate executive and division travel arrangements
  • Submit timely and accurate T&E reports for the division and be a go-to person for staff with questions on T&E submissions
  • Manage expenses by ensuring that monthly recurring expenses are received or accrued in a timely manner
  • Submit Purchase Requisitions when a Purchase Order (PO) is needed and ensure that any open POs are properly managed or closed
  • Manage the Purchasing Card (PCard) expenses, providing detailed monthly analysis, reconciliations, and ensuring that it is used for approved purposes
  • Ensure necessary office supplies are ordered and stocked
  • For new hires, set orientation agendas, line up training, presenters and prepare administratively for desks/laptops/telephone numbers, etc. Once on board, help with the administrative orientation and assist with completion of skills inventory
  • Arrange badge requests and other logistics for office guests
  • Duties may include: support with expanded staff meetings, meeting logistics (both internal and external), presentations, management of shared team information and resources on intranet/portals
  • Document meeting minutes as well as managing action items
  • Collect and prepare information used for presentations and reporting in Word, Excel, and PowerPoint.  Proficiency in Microsoft Office and SharePoint is a must
  • Act as a liaison, problem solver, and facilitator as the first contact for the executive and others in the department.
  • Screen and document incoming calls and correspondence, redirect requests to optimize the management team and respond independently when possible
  • This role at times may require off-hours responsiveness (e.g. example when the executive is in a different time zone)
  • Individual must be a team player with a positive attitude and excellent multi-tasking skills

Qualifications

  • 5+ years of solid executive assistant/coordination experience
  • Advanced experience in administrative support at an international level
  • Demonstrates excellent leadership and professional presence with a confident and approachable personality
  • Capable of working with discretion and tact in an environment exposed to a high level of sensitive and confidential information
  • Strong communication (written and verbal), detail-oriented, highly organized and ability to work across functions with executives (both internal & external)
  • History of creative problem solving, analytical skills, ability to work well collaboratively and under pressure
  • Experience creating and/or supporting presentation development for senior management
  • Experience in Microsoft Outlook, Excel, PowerPoint, SharePoint. (Must have Excel experience.)
  • Highly proficient in organizing worldwide travel
  • Detail-oriented and ability to complete work assignments with a high degree of quality
  • Ability to manage multiple tasks and assist multiple team members at the same time
  • Experience with departmental budget management beneficial
  • Ability to work well under pressure and respond to tight deadlines
  • Inherently motivated, highly organized and results oriented.
  • Able to work with little or no direction, take initiative, exercise good judgment, discretion and confidentiality in all tasks.
  • Demonstrated initiative, flexibility, teamwork, maturity under pressure, and can anticipate and resolve problems before they escalate
