Job Description

The Senior Administrative Assistant will play a central coordinating role for the Government Engagement function, provide a full range of administrative and clerical support to the VP, Global Policy, Global Government Engagement and manage a small portfolio of special projects in support of Visa executive engagement with public authorities through international partnership organizations. The successful candidate will be a self-starter with a passion for getting things done in a global organization. To succeed in this role, the Senior Administrative Assistant must possess extraordinary organizational and writing skills including the ability to develop presentations and briefing memoranda for senior executives, build and maintain databases of stakeholder contacts and correspondence manage scheduling and advance for international delegations, and work-cross functionally with a broad range of internal and external partners. The ability to manage multiple assignments concurrently, efficiently generate high-quality deliverables for senior executives and instill a business improvement culture are crucial. 

Responsibilities
This is an individual contributor role with a primary focus on team support, with responsibility for the ownership and execution of specific tasks. It is at a developing professional level and receives a moderate level of guidance and supervision.

  • Calendar Management: Assist in the management of one executive's calendar (VP Level), including scheduling meetings and conference calls and arranging travel.
  • Expense Management: Process expense reports on behalf of the executive and their team.
  • Activity Reporting: Create and maintain weekly/monthly/quarterly department reports that document team activities for company executives.
  • Document Maintenance: Maintain communications process documentation, distribution lists, asset library and message archives.
  • Events Support: Participate in the planning and execution of department meetings and employee engagement events including assistance with meeting agenda and presentation, securing offsite meeting venue and arranging team activity
  • Meeting Coordination: Handle room bookings, AV needs, catering
  • Liaison: Communicate with a broad range of Visa professionals on behalf of the department.
  • Budget Reporting & Coordination: Create and maintain a monthly budget summary to track planned and actual expenditures.

Qualifications

Basic Qualifications

  • Must have a High School diploma or equivalent

 

Preferred Qualifications

  • 4-6 years of experience in a similar role, preferably at a multinational organization. College degree a plus.

  • Able to work independently and manage multiple tasks simultaneously with a high degree of accuracy in a changing environment.

  • Flexible working hours to adjust to the needs of the business and in consideration of supporting Executives working and travelling globally.

  • Discretion combined with poise and professionalism in all communications.

  • Must be able to exercise good judgment regarding information which may be confidential.

  • Must have excellent communications skills both verbal and written in English, with demonstrated ability to communicate well with colleagues at all levels including senior management.

  • Customer service-focused with ability to work collaboratively with others.

  • Solid planning and organizational skills.

  • Proficiency in Microsoft Office.
