Job Description

The Facilities Manager is responsible for the delivery of workspace services, facility maintenance activities, safety and physical security for Visa properties. The position is generally responsible for mid-size Visa location of 200 to 500 seats in the Visa portfolio. The position represents Visa Global Corporate Real Estate, Global Security & Safety, and will interface with all levels of Visa local management, vendor service organizations, property managers and local security officials.

2. Principle Responsibilities/ Key Results Area: 

Responsible for the activities of outsourced vendors/resources in the delivery of workplace services and ad hoc add/move/changes within the assigned location.  This includes but not limited to overseeing all maintenance services such as: housekeeping, specialty cleaning, pest control, and equipment maintenance. Support facility and security project activities. Manage day to day operation and report to management on weekly activities. Tracking expenses in the finance tools and manage to the approved budget.  Provide the primary contact with the local landlord/property management to ensure Visa facility needs are being met.  Ensure all State Federal and Local codes and regulations are met.    

The position will have responsibility for managing site and corporate security programs including but not limited to the employee badge program, Access Control and Video Surveillance Systems, and Security Risk Review Program Other duties include managing Visa Inc.’s Key Controls, Policies and Procedures (Chapter 8), the Site Emergency Response Program (SERP), the Emergency Response Team (ERT), and the First Aid and AED programs. The position is also expected to respond and manage alarm and security incidents within the site, conducting initial investigation measures in coordination with Business Leader – Global Security & Safety. 

The position will serve as liaison with local site management and security officials for safety and security related issues and will be the point of contact (POC) for law enforcement officials.  The position will be responsible for issues affecting the safety and security of Visa Inc. employees, visitors and contractors in the office.

3. Strategic Nature, Mgmt Accountability, and Scope: 

Works with minimal supervision and is able to establish themselves as subject matter expert with the local management

Oversee maintenance plans to ensure a healthy and safe work environment. Ensure vendors are executing the plan appropriately. Recommend changes to the plan and if incorporated make the appropriate change. Assist with budget planning and ensure fiscal responsibilities. Ensure Security/Safety processes are implemented in accordance with local legislation, as well as in compliance with Visa internal standards and procedures, and identify and implement any new directives as needed to support the local office.

4. Decision Making and Complexity  

Oversees the implementation of established maintenance contracts, making sure services are performed at the contracted time, term and conditions. Enforces established service levels keeping in mind the needs of Visa staff. Maintains security functions at the office and assists in trouble shooting issues with the various security systems. Consults with Business Leaders on any outstanding issues that arise and handles according to the developed plan.

5. Financial and Organizational Scope

Assist management with the development of the annual budget and keep to the budget for all expenditures. Enter expense reports into the system. Utilize purchase requisitions and purchasing cards per the established process. 

6. Reporting Relationships and Interactions 

The position will report to the Sr. Director, Corporate Real Estate & Facilities responsible for the geography with dotted line to Sr. Director / VP - Global Security & Safety responsible for the geography.  Other responsibilities include coordinating and administering vendor relations and contractual agreements for facilities and security related programs; interfacing with the regional/country manager, as well as senior management and office personnel; interacting with building maintenance and security management to ensure a safe and secure work environment.

Qualifications

Key Competencies  

  • Understand and implement facilities processes in a leased office facility
  • Ability to manage vendors and interpret vendor contracts
  • Assist management with gathering appropriate information to develop consensus – decision making
  • Experience in space planning and restack program.
  • Demonstrated competency in working with  physical security systems
  • A basic understanding of risk assessment and mitigation strategies
  • Knowledge of security management and health and safety principles
  • Effectively work and collaborate with both internal and external clients
  • Strong customer service and personal interaction skills
  • Can handle multiple activities

8. Required Experience 

 Education: Degree / Technical Certificate

 Years Experience: 6-8

 Skills – Professional/Technical/Business

 Strong computer skills with working knowledge of Microsoft Office products, FM Systems, ACAD, and CMMS systems preferred.
