Job Description

The EA to the Head of CyberSource EU will be responsible for complex diary management, including aiding to prioritise engagements and meetings, organising travel and managing their expense claims.  It will include project managing staff gatherings and events across the year for the group via a meetings schedule.  They will also act as secretary to the Regional Leadership meetings and Quarterly meetings, producing minutes and chasing action resolution. 

This role will report to the Head of CyberSource EU and will act as their Assistant, arranging all aspects of their business life as well as providing support for the Regional Leadership Team, and leading administration for Cybs EU in the Reading office.

Support for the CyberSource EU Leadership Team is a broad range of activities, initiatives and events during the year including leading the organisation of the Meetings Programme across the group.

They will be acting as a liaison, problem solver and facilitator in a range of situations in a sales and solutions, client centric organisation.  It will include some purchasing admin with related expenses and budget resolution.  They will lead the staff engagement team in arranging staff gatherings and fun events across the year and project managing larger yearly events for the group.

Managing the admin function in the UK, including co-ordinating with facilities/security/recruitment/on-boarding and off-boarding activities.  Office/conference space co-ordination, internally and externally

We are looking for an applicant that takes great pride in the EA role and who brings a positive and can-do attitude to the team.  The position is based in Reading and may include some travel to the Paddington office when needed as well as potentially other venues and/or events etc. 

 

Preferred attributes:

  • Strong admin background with either a diploma, degree or proven academic qualifications.  Demonstrable experience in EA positions in commercial/corporate environments.

  • Proficiency in managing multiple executive schedules and organising worldwide travel and associated support.

  • Strong written and verbal communications skills, with the ability to communicate and collaborate effectively with a diverse group of people and job functions.

  • Demonstrated strengths balancing and prioritising in multiple areas, with attention to detail and proven ability to organise well.

  • The ability to handle situations in a mature and measured way, and able to “see the bigger picture” in supporting the business.

  • Capable of working with discretion and tact in an environment exposed to a high level of sensitive and confidential information.

  • Skilled in MS Office – specifically Outlook and with good skills in Word, Excel, PowerPoint and SharePoint.

Qualifications

Functions:

  • Managing complex diaries and scheduling issues

  • Managing complex travel arrangements and travel support for the group

  • Managing meetings schedule for the CyberSource EU Leadership Team

  • Project Managing yearly events such as Annual Kick-off, Sales Kick-off, Pinnacle Club Trip and managing budgets for same

  • Leading admin support for the region, including and through an Office Manager who deals with facilities co-ordination, desk management, office issues, stationery, on-boarding of new staff and associated issues, staff engagement team co-ordination etc

  • Co-ordinating and maintaining contact with all functions to ensure the smooth running of the office for those onsite and those working remotely.

  • Partner and coordinate workload with other admin team members globally and sometimes provide backup support when needed

  • Assisting staff with any queries including process and policy issues and/or links to other functions

  • Providing support and sometimes leadership on miscellaneous projects and initiatives

 

Other Requirements:

  • This is a pivotal role for a strong co-ordinator and will need someone who can engender community spirit and be a real team player

  • The role is based in the Reading office and may sometimes require travel to other offices and venues for meetings and events.

  • This role will require responsiveness and potentially off-hours working when necessary
