Job Description

This position will be responsible for a broad range of executive administrative support duties for two senior members of Visa’s business unit supporting global cross-border activities based in San Francisco. The successful candidate must possess the ability to stay several steps ahead and anticipating the needs of extremely busy senior executives. We are looking for someone who takes great pride in being an Executive Admin, who enjoys working with a growing collaborative team and who will serve as an ambassador for Visa and Cross Border team.

Essential Functions:

  • Calendar Management supporting at least 2 people and supporting the rest of the XB team as needed

  • Schedule internal and external meetings involving numerous stakeholders with dynamic calendars, across geographies and time zones

  • Proactively identify and resolve calendar conflicts for supported executives

  • Plan and book domestic and international travel

  • Format and compile some internal reports and documents

  • File expense claims

  • Travel as needed to meeting and event locations

  • The incumbent should be passionate about travel and cross-border travel, have a connection with the team

  • Ability to understand objective behind activities they are tasked with.

  • Agility and quick learning with right attitude. Will engage in basic analysis

Qualifications

Basic Qualifications:

  • Minimum of 6 months of work experience or Bachelor/Associate degree

Preferred Qualifications:

  • 2 or more years of work experience; 10 + years strongly preferred

  • Experience supporting senior executives and team for a large organization

  • Agility and a quick learner with a proactive work style

  • Strong proficiency with Outlook, MS Word, and PowerPoint

  • Experience with Excel and performing basic analysis

  • Ability to multi-task and prioritize work with attention to detail and thoroughness

  • Must be able to exercise good judgment regarding information which may be confidential

  • Discretion combined with poise and professionalism in all communications

  • Strong organizational, project management and problem-solving skills

  • Ability to work in teams / collaboration skills

  • Solid planning, organizational and written and verbal communication skills

Additional Information

Work Hours

  • This position requires the incumbent to be available during core business hours

  • This role at times requires off-hours responsiveness (for example when the executive is in a different time zone)

Travel Requirements

  • This position requires the incumbent to travel for work 5% of the time

Physical Requirements

  • This position will be performed in an office setting.  The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers, and reach with hands and arms.
