Job Description

Position Summary
The Concierge position is responsible for excellence in delivering an environment where staff and visitors feel welcome and comfortable and are in an optimal situation for them to work and achieve.  The role will work closely with the Group Country Manager (GCM) EA/Supervisor, Portfolio Management, Technology and Human Resources.  The reporting line for this role, will be to the GCM EA/Supervisor.

Role Responsibilities:

  • Welcome guests, ensure appropriate arrival registration process is completed and communicate to staff visitors have arrived.
  • Ensure the environment is meeting ready – accommodate room set up including equipment, oversee catering deliveries & catering set up.
  • Ensure meetings in rooms are kept to time and finish when they should, ensure no ‘walk ins’ on rooms that have already been reserved for another meeting.
  • Walk around facility tours for new staff.
  • Ensure all meeting zones & common areas are clean, tidy and meeting ready.
  • Receive incoming calls, know how to handle general public enquiries, know Visa’s preferred processes for incoming calls.
  • Responsible for setup and set-down of Collaboration Area
  • Main point of contact for catering and in-house events

Facilities

  • Ensure kitchen and reception facilities are sufficiently stocked and regularly cleaned out.
  • Provide assistance in overseeing in-house functions and events, work with the event lead and catering team.
  • Awareness of security issues, who to contact and procedures to follow in the case of an emergency, i.e. know who the first aid staff are, building security.
  • Collect and distribute incoming mail and notify of various courier deliveries.  Oversee outbound mail and DHL/Direct courier bookings.

Expenses

  • All expenses pertaining to meeting rooms and kitchen area are reconciled in accordance with the T&E Policy and meet compliance policy, eg., couriers, milk, fruit, flowers, newspapers, sugar, tea, coffee, etc.
  • Schedule in-house staff massages.

Compliance

  • Ensuring appropriate processes and records are kept, tracking is performed in accordance with local legislation, as well as in compliance with Visa internal standards and procedures.

Other

  • Ensure the Concierge handbook is kept up-to-date.  This assists anyone needing to step in and cover the role.

Qualifications

Skills, Experience & Capabilities
Technical

  • Previous experience in a concierge or office administrator position.
