Job Description

The primary purpose of this position is to directly support the VP of Strategic Sourcing, as well as the Global Strategic Sourcing Management team on both administrative tasks, projects and initiatives, which vary from strategic initiatives to day-to-day operations. You will need to have strong problem solving skills, excellent written and verbal communications, and ability to multi-task and prioritize effectively. You also expected to provide operational support including coordinating meetings, managing travel and expenses, performing administrative tasks for the function as needed, and supporting the function’s leadership team on ad-hoc projects from time to time.

The position reports directly to the VP of Strategic Sourcing.

Essential Functions:

  • Provide administrative support to VP of Strategic Sourcing and other leaders of the department including scheduling meetings (internal and external), handling all related logistics, supporting with filing expense reports and creating travel arrangements
  • Prepare communication materials for various initiatives under direction of the project leads
  • Support consolidating various documents and holding team members accountable to timelines set by Strategic Sourcing Leadership
  • Perform data gathering and research to support Sourcing and cross-functional projects as needed
  • Prepare reports to be executive ready with input from various stakeholders and analysis teams
  • Ownership of a variety of tasks that need to be performed on a routine basis (for example, records management and maintenance of department SharePoint sites and Shared Drive)
  • Provide operational support to teams leading special projects and initiatives to ensure the projects are successfully executed
  • Manage all tasks related to onboarding new hires, order supplies and various other internal requests.
  • Provide backup assistance to other administrative support team members as needed
  • Plan team events, meetings and activities

Qualifications

Basic:

  • High School education and 1+ years of industry experience

Preferred:

  • A Bachelor’s Degree (or equivalent) and 5+ years of operational and administrative experience required, preferably in a global, public company
  • Excellent calendar management skills in MS Outlook, including ability to coordinate internal and external meetings
  • Must have experience in supporting executives in a fast-paced and demanding corporate work environment
  • Ability to be comfortable with ambiguity and capable of making appropriate decisions independently with a minimum of supervision
  • Demonstrated professionalism, discretion, and experience in working with highly confidential information
  • Can-do attitude; must be proactive and solution oriented, looking for ways to add value and assist the team
  • Demonstrated ability to multi-task, respond to needs quickly and efficiently and prioritize work with a strong attention to detail
  • Self-motivated learner and willing to take on new initiatives in a fast-paced environment, supporting multiple projects simultaneously
  • Ability to effectively communicate and collaborate with a diverse range of people and job functions
  • Exercise excellent judgment in setting priorities and interacting with internal and external contacts
  • Demonstrated ability to anticipate the needs of the executive and team
  • Ability to work well under pressure and respond to tight deadlines
  • Excellent written and oral communication skills, including experience working with executive level presentations and other written communications, experience with regulatory documents a plus
  • Strong focus on customer service, team player mentality and ability to work collaboratively with others
  • Microsoft Outlook, Word, PowerPoint, and Excel skills are a must and SharePoint and Concur Expense skills are highly preferred; experience with Oracle iExpense would be beneficial
