Job Description

What's it all about?

You will be working alongside the Visa teams in the markets of Central Eastern Europe (CEE), liaising with multiple stakeholders with the aim:

  • To assist in the smooth running of the CEE offices.
  • Support Human Resources and Finance management.
  • To undertake specific projects and activities as requested by the CEE Leadership team.
  • Serve as the facilities manager for the offices in CEE

What we expect day to day:

Management Accountability & Scope

  • Act as the first point of contact for CEE offices, by dealing effectively and courteously with clients, external suppliers/agencies and other Visa staff.
  • Manage the local corporate card programs for employees in CEE offices, in close collaboration with Controllership and the Corporate card provider/bank. Manage and properly track execution of all procurement and supplier contracts for CEE offices.
  • Assist the Country Management and Client Engagement team with preparations for representing Visa at conferences, business gatherings, events and industry meetings.
  • Ensure that all office events in CEE are fully supported from an administrative and liaison perspective, including Regional Meetings, Management Meetings, Member events, etc.
  • Manage team of Administration Assistants in the CEE offices.

Finance Management Scope

  • Responsible for administration and maintenance of the office Purchase cards including end of month reconciliation. Responsible for ensuring all invoices received by the CEE offices are dealt in accordance with Finance and Audit guidelines.
  • Assist with the preparation of annual budgets, quarterly forecasts and monthly reports for Country reviews. Direct responsibility for ensuring that Facilities, T&E and Administrative budgets are monitored and controlled.

HR Management Scope

  • Organization of health and safety training and cooperation with the local suppliers in this area.  Ensure all employees comply with most up-to-date health and safety and medical mandatory examinations.
  • Administration of employee files and employees’ benefits.

CEE Offices Management

  • Responsible for the CEE offices Purchasing cards and making local purchases in line with Visa policies, particularly comply with Finance and Audit guidelines.  Responsibility for procurement, maintenance and replacement of all office equipment (incl. phones, tablets), stationery and control of supplies, including day-to-day budgetary and stock accountability.
  • Manage the organization of market visits in the CEE with agenda/meetings/appointments. Manage the office events within agreed budgets, compliance and procurement controls.

Qualifications

What we're after..

  • Complete knowledge of MS Office packages (Word, PowerPoint, Outlook, Excel).
  • Experience of working in small team/office environment, quick to learn and adapt to change.
  • Events and project management experience
  • Financial and cost management experience
  • Facilities Management experience
  • Excellent organizational skills, with focus on collaboration, interoperability & working against set deadlines.
