Job Description

Scope of Position:

  • Supervises and coordinates activities of workers concerned with providing work orders & inventory records for distribution accounts. 
  • Coordinates daily workflow and new accounts, gathering all necessary information and assigning accounts to CSRs.
  • Coordinate and mange operation for all PM1 departments
  • Procure efficiencies between departments.
  • Ensure  following of security health and safety protocols and standards]

Responsibilities:

Labor Management:

  • Supervises Customer Service Representatives. Coordinates daily workflow. Coordinates new accounts, gathering all necessary information and assigning accounts to CSRs. Audits all new accounts and follow up on responsibilities of the CSR’s to ensure that customer needs have been met. Issues written and oral instructions.
  • Assigns duties and examines work for exactness, neatness, and conformance to policies and procedures
  • Maintains a productive staff by creating programs for hiring, training and professional development.
  • Applies sound communication and motivational techniques in supervising, coaching and disciplining associates.
  • Manages associate performance and recommends promotions, wage increases and terminations.
  • Plans staffing level of distribution office personnel.
  • Determines work procedures, prepares work schedules, and expedites workflow.

Customer Service:

  • Makes introductory contact with new accounts and maintain effective relationships with existing accounts. Addresses the more complex and non-routine customer issues and requests.
  • Coordinates new accounts, gathering all necessary information and assigning accounts to Customer Service Representatives (CSRs).
  • Audits all new account and follows up on responsibilities of the CSR’s to ensure that customer needs have been met.

Retention:

  • Assists in following-up on current customers and conducting Quality
  • Management Reviews (QMRs).
  • Directs and controls the release of orders to shipping to ensure timely delivery to customers and meet company efficiency goals.
  • Directs and oversees order processing and ensures that data entries on documents such as Delivery Orders and inventory reports are accurate and timely.
  • Makes recommendations to senior management on programs to improve the operation of the customer service function.
  • Interacts with credit and collections personnel regarding payment problems.
  • Reviews records/reports to determine reasons for discrepancies between inventory and stock control records and recommends remedial actions to resolve discrepancies.

Documentation / Reporting:

  • Maintains up-to-date procedures manual.
  • Tracks on-time delivery and other performance measures.
  • Provides necessary reports to management.
  • Gathers and analyzes data concerning department operations and customer requirements.
  • Distributes reports to various functional areas as required.
  • Makes recommendations to senior management on programs to improve the operation of the customer service function.

Relationships:

  • Internal-Support sales staff by following up on possible sales leads, attend functions as a member of trade associations, conduct tours of the warehouse, make customer calls, and forward information regarding requests by customers for service to the sales staff.
  • Assist in executing company’s marketing plan. Interacts with other departmental management to achieve foals. Attends warehouse planning meetings.

Budgeting:

  • Works with the Distribution Manager to help develop and recommend the annual departmental operating budget, making said budget consistent with the desired customer service levels and necessary equipment upgrades.
  • Performs and supervises department accounting functions (i.e. Accts. Payable, Accts. Receivable, Customer Invoicing, domestic freight rating, etc.)

Equipment:

  • Develops procedures to ensure the efficient operation and utilization of office equipment. Determines and recommends enhancements for computer systems/telephone equipment to meet cost and service goals.

Qualifications

Education:

  • Bachelor’s degree (B.A.) from four-year college or university or
  • 4 years-related experience and/or training; or equivalent combination of education and experience.

Preferred Knowledge/ Skills:

  • Requires direct warehouse-related experience in customer service, with management skills such as planning, supervising, controlling, organizing and staffing. Communication skills are necessary to establish effective working relationships.
  • Knowledge of customer relationship management software programs, computer functions, inventory management, budgeting, and accounting is required.

Special Requirements:

  • Must have responsible work habits.
  • Must pass a background check, if applicable in state, region or geography.
  • Bi-lingual ability a plus.
  • Thorough understanding of and proficient in the use of EDMS, ETMS, MS Excel, MS Word, MS PowerPoint.

Additional preferred levels of qualifications:

  • At least two years of experience in distribution/inventory control
  • Previous supervisory experience
  • Superior attendance practices
