Job Description


Reporting to the Vice President Air Service & Commercial Development, this position is a reflection of the Vice President, the business unit and the organization. As an SBU, our Mandate is to drive passenger, cargo and commercial development by:

  • Creating and leading strategies to secure and grow passenger traffic
  • Creating and leading strategies to secure and grow e-commerce, cargo and logistics 
  • Creating and leading strategies to drive parking and ground transportation, concessions and real estate development
  • Developing, leading and implementing marketing strategies
  • Driving economic development in the community we serve
  • Working collaboratively with SBU's to achieve shared successes

The Executive Assistant provides senior level administrative support and deals with highly confidential and often complex information. This position assists the Air Service & Commercial Development SBU which consists of five revenue generating departments in developing aeronautical and non-aeronautical revenues for the organization. This position will also be required to assume a wide variety of assignments and projects and be able to work independently or with little direction



  • Ensure the Vice President’s time is prioritized, and calendar is coordinated by interacting with internal/external contacts in order to have a good understanding of upcoming priorities, preparing or providing necessary materials in a timely manner and provide input for improvement on existing processes and procedures
  • Coordinates meetings, complex travel arrangements and schedules. Prepares agendas and other materials for meetings; attends meetings and acts as recording secretary and ensures accurate minutes are compiled and distributed within established timeframes. Manages action item lists from meetings. Assists with the coordination and planning of corporate events, planning sessions or meetings, as required
  •  Maintaining a document management system that includes coordinating and managing budgets
  • Assist in the development and proof editing of SBU communications and presentations to ensure content is in an acceptable format
  • Act as a liaison between the Vice President and internal partners to ensure proper handling of all SBU matters, timely communication of information, and that emerging issues receive priorities as applicable



  • Minimum of 3-5 years in a progressively responsible senior administrative position
  • Education in Business Administration or a Technical certificate/diploma/degree would be considered an asset
  • Cross-cultural skills; A second language is an asset – preference given to Mandarin
  • Ability to be flexible and adapt to constant change
  • Time management skills and the ability to proactively prioritize and track large numbers of ongoing tasks
  • Ability to create and maintain strong relationships with key stakeholders
  • Ability to anticipate the needs of the VP and use problem solving skills when working independently
  • Ability to write effectively and clearly for document preparation (grammar, spelling, formatting, etc.)
  • Advanced efficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint), Adobe and database administration skills
  •  Ability to maintain professionalism, confidentiality and discretion under all circumstances
  • Ability to take direction well with strong attention to detail
  • Ability to secure and maintain appropriate airport security clearance and acceptable criminal record check is required
