Job Description

The Position: Executive Assistant


In this position, the Executive Assistant is responsible for providing a high level of administrative expertise and support to the CEO and his direct reports including but not limited to screening calls, calendaring, scheduling, reporting, coordinating activities and managing the information flow with the executive staff members. The Executive Assistant will serve as the main point of contact for the CEO, working with airline personnel managing and coordinating travel. The maturity and the ability to multi-task along with excellent organizational skills while working in a fast-paced, change-oriented environment are top priorities. Must have extensive experience managing all aspects of executives’ schedules and workloads with a strong focus on managing ever-changing schedules and calendars, making complex travel arrangements, and interfacing with other senior executives and key constituents.

Responsibilities:

  • Maintains CEO's daily calendar using Microsoft Outlook and manages all travel planning.
  • Effectively manages calendar, arranges meetings, conference calls, video conferences, travel, and personal appointments as needed. Provides suggested prioritization of scheduled and un-scheduled meetings and events.
  • Manages coordination and development of agendas for meetings. Effectively and accurately accumulates corresponding meeting materials and the coordination of participants.
  • Prepares PowerPoint presentations, spreadsheets, and management reports.
  • Performs administrative duties including, but not limited to answering phones and screening calls, faxing, filing, mailing, shipping and responding to correspondence.

  • Sales support activities including collecting, preparing and submiting quarterly objectives for the sales staff, reconciling commission payments and providing commission statements to the sales staff
  • Manages and ensures a professional business office environment for both employees and customers
  • Maintain and track expense reports and financial reconciliation of all expenses, especially from different countries.
  • Exercise judgment and implement projects as agreed upon with management.
  • Coordinate corporate events such as Executive retreats and parties, arranging dinner reservations for executives and clients
  • Prepares company lunch orders on a daily basis
  • Handle special projects/assignments as directed

Qualifications

Bachelor's Degree preferred but not required

  • Minimum 8 years experience in an Executive Administrative role, experience supporting CEO required
  • Expert level experience with Outlook and electronic devices.
  • Functional knowledge of Microsoft Office, Excel, PowerPoint and Internet Explorer.
  • General knowledge of all facets of executive administration, to include phone and in-person business protocol, composition of letters and memos, travel arrangements, event planning and all other relevant items.
  • Polished written and oral communication skills as well as professional demeanor.
  • Excellent organizational and prioritization skills. Ability to consistently follow through and take ownership of projects. Proactive and resourceful in solving problems. Assertive, detail oriented and energetic.
  • Ability to multi-task and respond quickly to changing priorities.
  • Ability to work independently.
  • Ability to maintain a high level of confidentiality.
  • Special qualifications

       o Must be cool under pressure and possess the ability to proactively address and identify situations that may escalate.

       o Event planning experience is highly desirable.

       o Experience using Travel and/or Expense Management Software helpful but not required

       o Experience in smaller, start-up / fast-paced organizations ideal
