Job Description

Conserves CEOs time and promotes the corporate image by representing the CEO internally and externally; providing liaison between the president, key executives, and employees.

 

  • Manages calendars and schedules appointments
  • Acts as liaison between CEO and all colleagues
  • Screens incoming calls and correspondence, and responds independently when possible
  • Available to attend Company programs, events, meeting and/or conferences, as requested, to assist in taking minutes and on-site coordination of such functions
  • Prepares agendas, notices, minutes and resolutions for corporate meetings
  • Takes and transcribes dictation
  • Composes and updates confidential correspondence, reports, spreadsheets/worksheets and other complex documents
  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings
  • Prepares and submits monthly expense reports.
  • Reconciles corporate credit card account(s).
  • Opens, sorts and distributes mail, and determines the level of priority
  • Maintains current and archived files
  • Assists with and/or oversees special projects.
  • Distributes reports, contracts and correspondence 
  • Assists with development of presentations

Qualifications

  • A high school diploma or GED required
  • Bachelor's degree or higher preferred
  • 3-4 years of related experience as an assistant to a CEO
  • Trustworthy and able to maintain confidentiality at all times
  • Works well under pressure
  • Individually identifies and resolves problems effectively and in a timely manner
  • Able to prioritize multiple tasks 
  • Edits work for spelling and grammar and makes recommendations
  • Demonstrates accuracy and thoroughness and monitors own work to ensure quality
  • Dependable and punctual
  • Able to follow instructions, respond to management direction and solicit feedback
  • Excellent people skills
  • Proficient in MS Word, Outlook, Excel, PowerPoint and the Internet
  • Professional appearance and pleasant telephone manner
  • Must have good command of the English language, oral and written
