Job Description

Job Purpose

The Sales & Marketing Administrator serves as an administrative assistant and clerical support to the Marketing Manager. May coordinate messages, appointments, information to callers, file maintenance, department office supplies and mail.

Principal Accountabilities:

  • Coordinates and arranges all department activities. Helps prepare, submit, and track all department expense reports.
  • Coordinates, schedules, and prepares for internal company meetings and customer visits.
  • Maintains adequate stock of normal office supply items and orders special items as required.
  • Enters and updates information and opportunities in the customer contact database.
  • Assists sales and marketing manager in preparing presentation material.
  • Creates and maintains files for open and closed sales.
  • Tracks and expedites new sales order files through the order entry, review and authorization process.
  • Enters all new orders and change orders into the main sales order system for all product lines.
  • Acts as primary contact for all customer inquiries regarding status of new orders.
  • Acts as back-up for lobby coverage.
  • Provides additional back-up support for quotations and for order entry and processing.
  • Manages all department mail
  • Administrator primarily deals with cash/cash reconciliation.

Qualifications

Diploma degree or equivalent
