Job Description

1. Job Purpose

  • The primary function of the Secretary’s job is to provide principal secretarial and office management support to the IT Director and department.

2. Principal Accountabilities

  • Prepare and manage correspondence, reports and documents
    Follow up on monthly reports with concerned departments
  • Act as point of contact between IT Director Office and other departments
  • Organize and coordinate meetings, conferences, travel arrangements
  • Take, type and distribute minutes of meeting when required
  • Maintain schedules and calendars
  • Arrange and confirm appointments
  • Handle incoming mail and other material
  • Setup and maintain filing systems
  • Operate office equipment
  • Manage office supplies
  • Performs miscellaneous
  • tasks as assigned by his/her direct manager

3. Health & Safety Responsibilities

  • Complies with established health and safety guidelines and procedures and ensures the health, safety and welfare of self and others
  • Identifies and reports to management any Health, Safety or Environmental risks and makes suggestions to
    address these risks and co-operate with his/her supervisor’s instructions.

4. Communications and Working Relationships

  • Communicate verbally and in writing to answer inquires and provide information
  • Liaison with internal and external contacts
  • Coordinate the flow of information both internally and externally



 



  



Qualifications

    • College graduate

    • Knowledge and working experience with MS- Office

    • English language proficiency

    • Proven experience of producing correspondence and documents

    • Excellent interpersonal skills

    • Professional and approachable

    • Time management

    • Stress tolerance

    • Self-motivation

    • Detail-oriented and understands the deadline driven nature of work

    • Ability to multi-task

    • Ability to maintain organized filing system
