Job Description

RVK is one of the largest investment consulting firms in the United States. Based in Portland, Oregon, we have offices in New York, Chicago, and Seattle. We currently consult to more than 300 client accounts located throughout the United States. Our clients are comprised of corporate and public defined benefit and defined contribution retirement systems, Taft-Hartley funds, endowments and foundations, non-pension operating funds, and select high-net-worth individuals and families. The cornerstones of our consulting philosophy are commitment to client service, in-depth knowledge, and no conflicts-of-interest. The Administrative Assistant position provides critical support to the Business Development department in a team structure. This position requires regular communication with contacts from all levels of the company and receives projects from the Director of Business Development, and provides administrative support to the department.

Duties for this position will include, but are not limited to:


  • Update and maintain a variety of company databases.
  • Provide research on prospective clients.
  • Track client reference usage.
  • Edit (sanitize) reports and presentations, and maintain a database of sample reports/presentations.
  • Facilitate consulting team scheduling for presentations with administrative team and produce highly-detailed meeting notices.
  • Organize administrative details for onsite meetings.
  • Update and maintain marketing documents.
  • Assist with marketing projects.
  • Communicate effectively and demonstrate strong interpersonal skills when working with other staff members and Business Development prospects.
  • Possess team player attitude and ability to take direction as necessary.
  • Work closely with Director to meet deadlines. Ability to prioritize work assignments and projects and to complete them within the allotted time and budget parameters.
  • Establish, maintain, and foster positive and harmonious working relationships with those contacted in the course of work.
  • Ability to quickly learn financial vocabulary and financial market fundamentals. Interest in the investment consulting field.
  • Maintain organization while undergoing multiple tasks.
  • Perform a variety of highly responsible, complex, and confidential administrative support functions involving the use of independent judgment and personal initiative.
  • Provide professional client service to clients, answering phones, scheduling conference rooms and sending and routing faxes, etc.
  • Experience with business correspondence.
  • Ability to type, file and enter data quickly and accurately.
  • Ability to plan and organize work to meet schedules and time lines.


Ideal candidates will have the following qualifications:

  • Bachelor’s Degree (business or writing/ literature preferred), or three to four years related experience and/or training within a related field; or any combination of education and experience, which would provide the applicant with the desired skills, knowledge and ability required to perform the job
  • Minimum of two years of experience as an administrative assistant supporting executive level staff, with a proven ability to work independently and as part of a team.
  • At least one year of experience supporting a marketing department where responding to RFP’s is the primary method of sales.
  • Excellent writing and proofing skills, a background in literature or writing is a      big plus.
  • Excellent attention to detail.
  • Strong organization and time management skills.
  • Strong interpersonal and communication skills.
  • The ability to multi-task and prioritize assigned work under tight deadlines.
  • Professional demeanor in a fast-paced office environment.
  • Exceptional Microsoft Office Suite knowledge and skills.
