Job Description

The primary responsibility of the Services Coordinator is to assist the Vice-President (Student Life) with the management of administrative tasks and projects for SSMU Services.

 

RESPONSIBILITIES:

  1. Respond to general questions, e-mails, and calls from SSMU Services and act as a general resource point for Services; 

  2. Manage administrative tasks both for SSMU Services and generally within the Student Life portfolio, including processing form submissions and resources requests for Services;

  3. Monitor compliance with Service constitutions and to support Services in the constitutional and by-law amendment process;

  4. Act as the chair of the Services Review Committee and to support the Vice-President (Student Life) in the implementation of the Service Review process;

  5. Contribute to resource development for SSMU Services, including the maintenance of resources for Service executives on the SSMU Website;

  6. Collaborate with the Vice-President (Student Life) on Service related projects within the portfolio, as requested;

  7. Make recommendations to the Vice-President (Student Life) on Service policy and management;

  8. Complete the Services Review Report before the end of the year;

  9. Maintain institutional memory within the Student Life portfolio through the maintenance of all portfolio files and archives; 

  10. Assist the Vice-President (Student Life) with miscellaneous administrative tasks and in direct communication with student groups as requested.                                                               

OTHER RESPONSIBILITIES AND FUNCTIONS:

To undertake other duties and responsibilities as may be assigned by the Vice-President (Student Life).

SUPERVISION REQUIRED:

The Services Administrative Assistant receives general direction from the Vice-President (Student Life).

Qualifications

  1. Knowledge of the functioning of SSMU Services required;

  2. Experience serving as an executive of a SSMU Service an asset;  

  3. Experience with governance document revision and archiving an asset;

  4. Understanding of Microsoft office suites (Word, Excel, PowerPoint) and G Suit;

  5. Knowledge of student governance and student politics an asset;

  6. Highly organized and strong attention to detail;

  7. Initiative and results driven oriented;

  8. Strong communication skills both in English and French an asset.

 

CONFIDENTIALITY:

It is understood and agreed that all matters to the SSMU and those clubs association or groups forming part of the SSMU are to be kept in the strictest of confidence, and nothing regarding the operations, policies and general activities of the SSMU or its constituent groups shall be divulged to any third party without the express consent of the General Manager and/or the Executive Committee of the SSMU.

  • Paid position: $15.25/hour
  • Hours: 5-10 hours per week;
  • Contract: Mid-June, 2023, to May 31, 2024;
