Job Description
Public Storage currently has an excellent opportunity for a Project Coordinator to be based in Frisco, TX. The Project Coordinator will report to the Regional Vice President (RVP) of Development and provide administrative support to the national team. The successful candidate will work with the RVP to take our projects from concept to completion. The Project Coordinator supports real estate development projects from planning through closeout by providing administrative, coordination, and reporting support across development, construction, legal, and finance teams. This role ensures project documentation, schedules, budgets, and reporting remain accurate and up to date while coordinating with internal stakeholders and external partners.
Responsibilities
Project Administration & Documentation
- Maintain and update project trackers, schedules, and status reports
- Organize and manage project documentation including contracts, permits, entitlements, and legal records within eBuilder, Docuware, and SharePoint
- Prepare meeting agendas, take minutes, and follow up on action items
- Maintain digital filing systems and ensure accurate and timely document uploads
Coordination & Communication
- Serve as a liaison between internal teams (Development, Construction, Legal, Finance, IT) and external partners (consultants, municipalities, vendors)
- Schedule and coordinate project meetings, investment packages, site visits, milestone reviews, and large team meetings
- Track and communicate project updates and deliverables to stakeholders
- Assist with organizing team events and property-related meetings
Entitlement & Permitting Support
- Assist in compiling and submitting entitlement and permitting applications
- Track approval timelines and coordinate with municipalities, consultants, and internal teams
- Coordinate with Development Managers to obtain property access codes for vendor support
Budget, Invoice & Contract Management
- Support budget tracking and cost control efforts
- Process and track invoices, consultant payments, change orders, and check requests
- Perform eBuilder data entry including budgets, minor contracts, change orders, and new vendor setup
- Assist with adding new vendors into SAP and eBuilder systems
Reporting & Analysis
- Assist with preparation of monthly reporting for leadership and internal teams
- Compile and track unrentable unit reporting attributable to construction and development activities
- Prepare project dashboards, milestone summaries, and supporting documentation
- Run WebChamp reports and consolidate data for construction and development presentations
- Support data collection for market research, feasibility studies, and underwriting
Construction, Property Opening & Closeout Support
- Assist with property openings and project closeout activities
- Receive unit audit information from Construction Managers, coordinate with Pricing, and provide final asset data to IT for property openings
- Procure and track construction-related bonds in coordination with Construction Managers and CVPs until project closeout
- Coordinate ordering of golf carts for new properties
- Review closeout documentation from General Contractors and upload final materials to Docuware
Legal & Compliance Support
- Perform data entry and tracking within legal portals
- Obtain certificates of secretary and other required legal documentation
- Serve as a Public Notary as required
Technology & Tools
- Utilize project management and real estate software including Excel, MS Project, eBuilder, LandVision, PropRise, Radius+, SAP, WebChamp, and internal systems
- Maintain accurate and organized digital records across multiple platforms
Qualifications
- Bachelor's degree in Real Estate, Business, Urban Planning, Construction Management, Marketing or a related field preferred
-5+years of experience in real estate development, construction, or project coordination
- Strong organizational, communication, and follow-up skills
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
- Public Notary certification (or willingness to obtain post-hire)
Preferred
- Experience with project management and real estate systems (eBuilder, SAP, WebChamp, PropRise, Radius+)
- Experience with eBuilder data entry and document management
- Ability to assist Construction and Development Managers/VPs across multiple geographic regions
